Receiving
The Receiving section tracks Purchased items by assigning a (Auto-Numbered) Receiving Number and then receiving quantities per line item from the Purchase Order detail. For Adding new Receivings, use the Receiving Entry Manager. If you have added partial Receivings against a PO, then you want to use the Receiving Edit Manager. These two screens are slightly different in their layouts and the fields displayed on them.

Receiving Entry Manager
Here are descriptions for the fields and buttons found on the Receiving Entry Manager:
PO#
The Purchase Order Number you are receiving against.
Receiving #
The auto-assigned number for the receiver that is the next sequential receiving number.
RecBy
The name or code of the person adding the receiving.
RecDate
The date the receiving was added.
Receiving Notes
Add any pertinent notes regarding the receiving here.
PONotes
Displayes any notes that were entered on the PO.
VendorIDNotes
Specific Notes per the Vendor (See Address module for Details).
Qty B/O
The quantity on back order for the item being received.
QtyRec
The field where you enter the quantity received from the Vendor against the quantity ordered.
Location
The Inventory Location to receive the items into.
ItemPart#
The Internal Number and Description according to the ItemMaster for the items on back order that are being received.
New Voucher Button
If you have the bill at the same time you receive the packing slip for the Items being received, you can click this New Voucher button to process the Receiver for exporting the bill to your accounting program. Click here for more information on vouchering.


Quick How To
Select the PO# then place the cursor in the field QtyRec for first available line item for receiving.  Entering a quantity here and exiting the field will automatically update the Quantity Back Ordered (Qty B/O) field for the amount received and place you at the next line item. Enter the Inventory Location you are receiving to. You can then continue receiving for additional line items, or exit the form using the exit button at the bottom of the screen. Upon exit, a Receiver, and a copy of the Purchase Order will print to the default printer for your records. You can print out the working copy of the receiver by pressing the print button at the bottom the screen.

Note
In the event that you partially receive a line item, do not receive that line item again, even if you have made a mistake! If you need to decrease the Quantity received for a line item you received, then close the Receiving Entry Manager and go to the Receiving Edit Manager.. Bring up the Receiver and enter in correct Quantity Received. Then go to the Purchasing Manager, bring up the PO and add back the correct Quantity that is still on Back Order for the Line Item. If you need to increase the Quantity received for a line item you received, then the easiest method is to add another Receiver from the Receiving Entry Manager and receive the rest. Optionally, you could close the Receiving Entry Manager and go to the Edit Receiving Manager and bring up the Receiver and enter in the correct Quantity received, but then make sure to go to the PO and subtract the Back Order Quantity for the Line Item.

Receiving Edit Manager

Here are descriptions for the fields and buttons found on the Receiving Entry Manager:
PO#
The Purchase Order Number you are receiving against.
Receiving #
The auto-assigned number for the receiver that is the next sequential receiving number.
Vendor ID
The vendor ID is the ID from the AddressBook for the Vendor that the Order was placed with.
PO Date
The date the PO was created.
OrderPlacedWith
The Rep for the vendor who the order was placed with.
RecBy
The name or code of the person adding the receiving.
Notes
These are the receiving notes that were added when the receiver was initially added.
RecDate
The date the receiving was added.

Serial Receiving <Top>
This screen is only available when the Serial Module has been purchased. It functions the same as the Receiving Entry Manager, except that it allows for the addition of Serial Numbers.
If you are doing Serial Receiving, you add the Receiving by entering the Quantity Received, and the Inventory Location, then enter the Serial Number and Serial Quantity. For Adding new Serial Receivings, use the Serial Receiving Entry link. If you have added partial Serial Receivings against a PO, then you want to use the Serial Receiving Edit link.

PO#
The Purchase Order Number you are receiving against.
Receiving #
The auto-assigned number for the receiver that is the next sequential receiving number.
RecBy
The name or code of the person adding the receiving.
RecDate

PONotes

Brings the next item record into view.

The field where you assign the Serial Number for the Item being received.
Qty

The field where you assign the quantity to the items you are serializing.

Inventory Adjustments <Top>
This screen is for changing Inventory quantities from one part to another. When you want to conduct an Inventory Adjustment, Click "Add Inventory Adjustment" on the Inventory menu.  When you want to edit an Inventory Adjustment, Click "Edit Inventory Adjustment" on the Inventory menu. When editing, you may change any of the data except for the TransactionID field.

Here are descriptions for the fields and buttons found on the Inventory Adjustment Manager:

TransactionID
A Unique Transaction ID automatically assigned for the transaction.
Date
Automatically assigned System Date for the transaction, which may be changed.
TransactionDesc
A description for the transaction.
InternalPart#
The InternalPartNum for the transfer.
NewInternalPart#
This option allows you to change the Inventory amount from one Part to another. This is useful if you send parts out for outside processing, and want to change the Inventory to the updated Part number.
PartMaster StdCost
Displays the standard cost for the item.
Adjustment StdCost
Change the items standard cost here.
QtyTransacted
Always enter this amount as a positive number.
Location
Inventory Location for Reference.
LocationToTransfer
The InventoryLocation to receive the Adjustment.
Change Internal Part Num
press this button to finalize the change.
Add Button
Clicking this button adds the quantity to inventory. When you have entered the correct quantity, click the "Add" button for an addition to the Inventory. BusinessMaster will automatically process the data, and exit the form. 
Subtract Button
Clicking this button subtracts the quantity from inventory. When you have entered the correct quantity, click the "Subtract" button for a subtraction to the Inventory.  BusinessMaster will automatically process the data, and exit the form. 
Transfer Button
Clicking this button transfers the quantity to the selected location. When you wish to Transfer between locations, press the "Transfer" button. A subtraction of the current Part will be made to the Location, and an addition will be made to the LocationToTransfer.

Change InternalPartNum
This option allows you to change the Inventory amount from one Part to another. This is useful if you send parts out for outside processing, and want to change the Inventory to the updated Part number.

Note: You can only perform one transaction to the Inventory Transaction module at a time.

Serial Inventory Adjustments
To create new Serial Inventory Adjustments, use the Add Serial Adjustment link from the Sales/Shipping Main Menu. This opens up theSerial Inventory Adjustment Manager for adding new Serial Inventory Adjustments.

To edit Serial Inventory Adjustments, use the Edit Serial Adjustment link from the Sales/Shipping Main Menu. This opens up the Serial Inventory Adjustment Manager for editing and adding Serial Inventory Adjustments.

Physical Inventory <Top>
When you run a Physical Inventory Count, you may want to change all items in one step without individual Inventory Transfers. In this case use the Physical Inventory Form. This form will create an Inventory Transfer entry for each Part you enter with the current date.

Fields in the Physical Inventory Manager:
ProductCode
the product code for the item.
StockItem
check the box if it's a stock item
CycleCount
a code for how often you count things
InternalPart#
The part for which you wish to change inventory qty.
Description
the item number description
CurInv
The current Inventory (from the system)
CI Location
Current Inventory Location
PhyInv
The actual Physical Inventory amt.
Location
Inventory Location


Buttons on the Physical Inventory Manager:
NewRecords

Populates this form with the current Inventory qty.
Update Records
When finished entering Physical Inventory Amount, this will update system with current Physical Inventory Quantity.

MRP <Top>
The MRP Control Panel allows the user to pick which data will be included in the MRP (Material Resource Planning) runs.

A Simple Inventory Formula: Inventory = Inventory Increments (all Receivings) minus Inventory Decrements (shipments and use toward finished goods) minus the Sum of Inventory Transfers (non-shipment or usage, such as scrap, lost or stolen items, etc.)

MRP Control Panel
Here are descriptions for the fields and buttons found on the MRP Control Panel:
Open S/O Line Items and Open Phase Materials
Related to demands for parts and assemblies.
StockBills/BOM
Checking these boxes drives the demands for the components from these records.
OpenW/O and OpenP/O
These provide Work Order and Purchase Order supply data.
Safety Stock
will add a demand (negative amount) for any part that has a SafetyStock quantity in the PartMaster form.
Include Yield
will take all demands, and multiply them by the Yield in the PartMaster form.
Single Level MRP
Checking this option will process the MRP report one level at a time for Assemblies.
SO Num
Drives MRP by a single SalesOrder
Customer
Drives MRP by a single customer
PartNum
Drives MRP by a single top level part number.
Run MRP Report Button
Launches the Report Manager with your selections.
Plan WO Button
Runs WorkOrder planning. Suggests WO's based on MRP demands.
Plan Stock PO Button
Runs PurchaseOrder planning for Stock Parts only. Suggests PO's based on MRP demands for stock items. Click here for more information on how to plan stock PO's.
Plan Non-Stock PO Button
Runs PurchaseOrder planning for Non-Stock Parts only. Suggests PO's based on MRP demands for non-stock items. Click here for more information on how to plan non-stock PO's.
Typical Production Button
Checks off Open S/O and Open W/O for processing MRP for a typical production based scenario.
Typical Materials Button
Checks off Open W/O, Open W/O Stockbill, Open P/O and Safety Stock for processing MRP for a typical supply and demand materials scenario.
Custom MFG MRP Button
Checks off Open Phase Materials, Open Phase Materials Stockbill, Open P/O and Safety Stock for processing MRP in a custom manufacturing scenario.
Custom MFG WO Button
Checks off Open Phase Materials, Open W/O, Open W/O Stockbill, Open P/O, Safety Stock and Single Level MRP for processing MRP in a scenario where this is a mix of custom and production manufacturing taking place.

The MRP Report

Once you select the Data that is going to drive the MRP Report, you click the Run MRP Report button and then click the Total MRP Report listing. You can then select any Date Range or Advanced Criteria Filters, then click the Preview Button. Click here for more detailed instructions for running MRP.

Here are descriptions for the information found on the generated MRP Report:
Date Range
At the top of the TotalMRP Report, you see the Date Range. This can be changed to any date range you wish.
Stock Items
Beneath the Date Range at the top of the report, the Stock Item filtering criteria is listed. You can filter the MRP report in the Advanced Criteria by Stock Items (Yes or No).
Product Code
Beneath the Date Range at the top of the report, the Product Code filtering criteria is listed. You can Filter the MRP report in the Advanced Criteria by Product Code.
Internal Part Number
Beneath the Date Range at the top of the report, the Internal Part Number filtering criteria is listed. You can Filter the MRP report in the Advanced Criteria by Part Number.
Part Type
Beneath the Date Range at the top of the report, the Part Type filtering criteria is listed. You can Filter the MRP report in the Advanced Criteria by Part Type.
Item
The Item Number and Description is the first thing listed for each Item being analyzed.
Proj Inventory
This lists the Projected Inventory for the Item. A blue number means you are left with a positive quantity. A red number means you are left with a negative number. A black number means you are left with Zero.
Inventory
This lists the Current Inventory for the Item, not including any demand.
Safe Stock

Inventory Location Manager
<Top>
This form is for setting the Inventory LocationID's and descriptions for Inventory Locations.

Fields in the Inventory Location Manager:
LocationID
The ID of the InventoryLocation
Description
The full description of the Location.
MRPLocation
When flagged, this location is included in the MRP report. (Needs to be checked to be included in MRP)

Note: Do not remove or edit the Stock Inventory Location (ST). This can cause problems with how certain behind the scenes routines work, and effect the integrity of your data.
